Privacy Policy
AsyncPrep helps teams prepare meetings: each invited person talks privately with an AI facilitator before the meeting, and AsyncPrep turns everyone's input into an anonymized brief and, afterwards, a to-do list. This policy explains what we collect, why, who can see it, and your rights.
AsyncPrep is operated by Hinto App, 381 Desrochers Ouest, Chertsey, Quebec J0K 3K0, Canada ("AsyncPrep", "we"). The person in charge of protecting personal information is Khalil Rihane, reachable at privacy@asyncprep.com.
1. What we collect

When paid plans launch, payments will be processed by Stripe; we will not see or store your full card number.
2. What we write to your Google account
Only when you click the corresponding button: the organizer can add the brief or an "async prep" notice to the Calendar event description, and add the final to-do list to the meeting-notes doc. AsyncPrep never deletes events or documents.
3. Who can see what
- Your private prep conversation and your personal recap: only you.
- The brief, final to-do list and decisions: people invited to the meeting. They are anonymized; names appear only on tasks people volunteered for or were assigned.
- The organizer and workspace admins: prep status (who has started or submitted, message counts, timestamps), AI usage and the activity log. Not what anyone wrote.
- AsyncPrep staff: technical access is limited to operating, securing and supporting the service, and to cases required by law.
4. Service providers
We use the following providers to run AsyncPrep. They process data only on our instructions.
- Fly.io: hosting and database. Data is stored in Toronto, Canada, on encrypted storage.
- Anthropic (United States): the AI model (Claude) that runs the facilitator and writes briefs, recaps and to-do lists. Content needed for each step is sent to Anthropic's API. Under Anthropic's commercial terms, this content is not used to train its models and is kept only for a limited period.
- Google: sign-in, Calendar and Docs APIs, and web fonts.
- GitHub: read-only repository activity, only if an organizer links a repository.
- Stripe: payments, once paid plans launch.
Because Anthropic processes data in the United States, some information leaves Quebec. We assessed this transfer and rely on contractual protections; the data is used only to provide the service.
5. Google API data: Limited Use
AsyncPrep's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we use Google user data only to provide and improve AsyncPrep's user-facing features, we don't sell it, we don't use it for advertising, and we don't use it to train generalized AI or machine-learning models.
6. How long we keep data
- Meeting data (event details, prep conversations, briefs, recaps, to-do lists) is kept while the workspace is active, so teams can refer back to past decisions.
- On request, we delete your data or your workspace within 30 days. Encrypted backups are kept for up to 5 days and then overwritten.
- Sign-in sessions expire after 30 days.
7. Security
Data is encrypted in transit (HTTPS) and at rest. Session identifiers are stored only as hashes. Access to Google data uses the minimum permissions needed, and every request checks that the person is invited to the meeting.
8. Your rights
You can ask to access, correct or delete your personal information, to receive it in a structured, commonly used technological format, and to withdraw your consent. You can revoke AsyncPrep's access to your Google account at any time at myaccount.google.com/permissions. Write to privacy@asyncprep.com; we answer within 30 days. If you are not satisfied, you can contact the Commission d'accès à l'information du Québec.
9. Children
AsyncPrep is a business tool and is not intended for people under 14.
10. Changes
We will post any change to this policy here and, for significant changes, notify workspace owners by email before they take effect.
